Purposes and legal basis for the processing of your personal information

VIKING might process your personal for one or more of the following purposes:

General communication

VIKING may process your personal data for the purposes of handling and replying to any inquiries, requests or other communications directed to us.

Generally, this data is limited to contact details such as name, address, e-mail or phone number. However, the information may vary depending on the nature of the inquiry and the personal information sent to us.

The legal basis for this processing is our legitimate interest in handling and replying to such general communication, in accordance with Article 6 (1) f of the GDPR.

Marketing

VIKING may process your personal data for the purposes of conducting marketing initiatives, often by engaging via our websites, social media, newsletters or at events.

Generally, this data is limited to name, place of employment, e-mail or phone number.

The legal basis for this processing is our legitimate interest in conducting various marketing initiatives, in accordance with Article 6 (1) f of the GDPR.

Visiting VIKINGs locations

Guests at VIKINGs locations must register their arrival and are issued with personalised ID-cards in accordance with our internal security policies. The purpose of this registration, and the processing of personal data it entails, is to ensure the security of our locations and the safety of our guest.

Generally, this data is limited to name, e-mail, place of employment, and the purpose of your visit.

The legal basis for this processing is our legitimate interest in ensuring the security of our locations and the safety of any guest, in accordance with Article 6 (1) f of the GDPR.

Business related processing

If you or your employer has entered a business relation with VIKING, which may require us to process your personal data in order to fulfil any contractual obligations relating to this business relationship.

The types of personal data may vary depending on the business relation, but will generally be limited to name, place of employment, e-mail.

The legal basis for this processing is our necessity to fulfil our contractual obligations, in accordance with Article 6 (1) b of the GDPR.

Photos at events

Guests at VIKING events might be photographed as part of general situational photos depicting the event and its activities. These photos might be shared on social media or VIKING’s website.

This data is limited to situational photos, of a professional nature, used to promote the event, rather than focusing on any individual participant, but individuals might be recognisable in these photos.

The legal basis for this processing is our legitimate interests in promoting such events, in accordance with Article 6 (1) f of the GDPR.

The photographers are instructed to notify the participants when taking such photos, and of their right to object to this processing of personal data, in accordance with article 21 of the GDPR. Participants who object to this processing of personal data, will not be featured in any photos but they might be asked to move out of the way of such photos.

Recipients of your personal data

When necessary, VIKING may disclose your personal data to third parties, such as other business partners, suppliers, vendors, consultants, and public authorities, in order to fulfil our contractual obligations towards you or your employer.

When necessary, VIKING may disclose your personal data to public authorities in order to comply with any legal obligations, compelling us to do so.

VIKING might share photos from events on social media or its website, wherein participants might feature. These photos are made publicly available but are limited to situational photos of a professional nature, used to promote the event, rather than focusing on any individual participant.

Lastly VIKING might disclose your personal data to our IT service providers, acting as data processors in accordance with written instructions from VIKING.

Transfers outside the EU

Being a global organisation VIKING might need to transfer your personal data to our various subsidiaries, affiliated companies, and services stations around the world, which might entail transferring personal data outside the EU. In such cases your personal data will not be disclosed to anyone outside the VIKING organisation and its subsidiaries, unless it is required due to any legal obligations or necessary to fulfil our contractual obligations towards you or your employer.

Transfers of your personal data will be based on applicable local data privacy laws, including appropriate international data transfer mechanisms and safeguards, such as EU Adequacy Decisions, Standard Contractual Clauses, and/or Binding Corporate Rules.

Personal data retention

VIKING stores your personal data as long as it is necessary to fulfil the purpose of the use, and for a proportionate amount of time thereafter, depending on the nature and purpose of the processing activities, unless we are obligated to store the personal data for a longer period due to any legal obligations.

VIKING may retain your personal data when this is necessary to safeguard our legal position, for instance in relation to statutes of limitations, compliance, security, litigation, or regulatory investigations.

Rights to your data

You have certain rights in relation to our processing of your data, which include the following:

Request access to your personal data: You have the right to ask VIKING for information about, or access to, the personal data we process about you.
Request rectification of your personal data: This right entitles you to have your personal data corrected if it is inaccurate or incomplete.
Object to the use of your personal data: This right entitles you to request that we no longer use your personal data.
Request erasure of your personal data: This right entitles you to request that we erase your personal data.

In certain circumstances there might be exemptions to these rights, which mean we may not always be able to accommodate such requests.
